This Refund & Payment Policy explains how payments and refunds are handled when you use the MDBill.io online patient payment portal (“MDBill.io”, “we”, “our”, “us”). By submitting a payment through MDBill.io, you agree to the terms described below, in addition to our Terms & Conditions and Privacy Policy.
1. Nature of Our Service
MDBill.io provides a secure online payment portal that allows patients and responsible parties to make payments to participating healthcare providers. MDBill.io processes payments on behalf of your provider but does not deliver medical services or determine what you owe. All questions about the amount billed or your insurance coverage should be directed to your healthcare provider.
2. Payment Methods Accepted
MDBill.io currently accepts the following major credit card brands:
- Visa
- Mastercard
- American Express
- Discover
All payments are processed in U.S. dollars (USD) through a PCI-DSS compliant payment gateway over an encrypted HTTPS connection. MDBill.io does not store your full card number or CVC code on its servers.
3. When MDBill.io Issues Refunds
MDBill.io may issue refunds directly to the original payment method in the following limited situations, after verification:
- Duplicate payment: the same balance is accidentally paid more than once.
- Payment for the wrong patient: payment is made using an incorrect patient account or statement number.
- Payment to a non-active or incorrect practice: payment is made to a practice that is not active or not associated with MDBill.io at the time of processing.
- Data entry error: obvious overpayment or incorrect amount entered in error.
- Failed or reversed transaction that appears as paid: technical issues where a payment authorization or settlement error occurs.
All refund requests are subject to review and must be supported by sufficient information so we can locate and verify the original transaction.
4. Refunds Issued by Your Healthcare Provider
MDBill.io does not make clinical or billing decisions and does not determine whether a service was rendered, appropriately coded, or covered by insurance. For disputes related to:
- Disagreements about services or charges
- Changes in insurance coverage or benefits
- Questions about adjustments, write-offs, or charity care
- Service quality or medical concerns
refunds or billing corrections must be handled directly by your healthcare provider. Their internal policies and local/state regulations govern those decisions.
5. How to Request a Refund from MDBill.io
To request a refund from MDBill.io for a duplicate or erroneous payment, please contact us at:

Please include the following information so we can locate your payment:
- Patient name
- Payment date
- Payment amount
- Provider/practice name (if known)
- Last 4 digits of the card used
- Brief explanation of the reason for your refund request
6. Refund Processing Time
Once a refund is approved, MDBill.io will submit the refund to your card issuer. Typical time frames are:
- Credit card refunds: usually 5–10 business days from the date MDBill.io processes the refund.
- Your bank or card issuer may take additional time before the refund appears on your statement.
MDBill.io cannot control how quickly your card issuer posts the credit.
7. Payments That May Not Be Eligible for Refund
In general, MDBill.io is unable to refund payments when:
- The payment has been correctly applied to the patient’s account as provided by the practice.
- The request relates to billing, coverage, or medical disputes that are the responsibility of the provider to resolve.
- The payment is older than 180 days, unless otherwise required by law or your card network’s rules.
- Sufficient information to verify the transaction cannot be provided.
8. Service Delivery & Confirmation
MDBill.io does not ship physical goods. Our service consists of securely transmitting your payment to your healthcare provider. Once a payment is authorized:
- A confirmation page is displayed in your browser; and
- If available, an email receipt may be sent to the address you provide.
These confirmations serve as proof of payment submission. The actual healthcare services are delivered by your provider, not by MDBill.io.
9. Security & Data Transmission
MDBill.io is committed to protecting payment information using industry-standard security:
- All payment pages are protected by HTTPS/TLS encryption.
- Card data is processed through a PCI-DSS compliant payment gateway.
- MDBill.io does not store full card numbers or CVC codes on its servers.
- Access to systems is role-based and monitored.

10. Changes to This Policy
We may update this Refund & Payment Policy from time to time to reflect changes in regulations, card network rules, or our internal processes. When we make material changes, we will update the “Effective Date” at the top of this page.
